Use a short, factual message that lets the supplier identify the document. First check that the apparent gap is not in your own export.

The short answer

A supplier-credit follow-up should identify the approved return, approval date, agreed currency and amount, and any credit notes already received. Ask for the missing document reference or an explanation of the difference. Avoid stating that money is definitely owed before the records are verified.

Prepare before you write

Confirm the approved amount and expected outcome. Search for split notes, alternate references and documents received by a colleague. Use the same cutoff across exports. If a credit exists but appears unapplied, ask your own AP team first. A supplier cannot explain an internal allocation that has not been included in your report.

Keep the request narrow

Send one clearly scoped question or a small, well-labelled list. State the as-of date of your check so the supplier can explain a recent document. Share only the information needed with a verified business contact through an approved channel. The examples below use fictional numbers; replace them and check every factual statement before sending.

Follow the agreed working date

If the supplier gave an expected issue date, refer to it. Otherwise ask for one. Choose a follow-up date appropriate to the relationship and urgency rather than inventing a universal legal deadline. Record the response, its author and document reference in the case. An unanswered message is not proof of a liability.

Separate a reply from a resolution

“We are looking into it” is progress, not a closed case. A replacement reference may require you to update the mapping and repeat the check. A received note still needs an application review where that is relevant. Keep disputed amounts separate and involve the authorized finance or commercial owner before accepting a different settlement.
