The RMA is closed. Is the credit?

A warehouse can finish the physical return before finance finishes the supplier credit. Give both teams a shared set of references to review.

Follow the handoff, not just the parcel

An RMA log may record authorization, dispatch and receipt, while the finance system records credit notes and later applications. Agree which status confirms the expected financial value. “Received by supplier” and “credit approved for EUR 1,000” should not be treated as interchangeable. Where values are disputed, resolve that scope before treating a difference as an exception.

Allow for split credits

A fictional distributor returns ten cameras with an approved credit of EUR 1,000. The supplier issues two notes against the same RMA: EUR 600, then EUR 400. A one-note-per-return check could flag the first note incorrectly. VendorCredits sums notes with the same supplier, expected reference and currency. An RMA covering several currencies must be split into correctly identified records; it cannot be reconciled by comparing a blended amount.

Give AP enough settlement context

A note can be issued in one period and applied in the next. Export applications up to the agreed as-of date and identify any opening credits still outstanding. If the export only contains this month’s new notes, the result can miss old balances or misread later applications. The finance owner should confirm completeness, including records outside the selected period when needed as context.

Choose an initial dataset with a clear owner

A practical first review uses a small group of suppliers, a 90-day historical window and returns with approved values. The exact number of suppliers and records is agreed before the audit. The current template is limited to 2,000 total source rows and 400 KB per CSV; larger exports need an agreed preparation method. Arbitrarily splitting linked documents across files can create false missing-credit findings.

Keep product and customer details out

The current matching model does not need camera serial numbers, consumer names, delivery addresses, product descriptions, bank accounts or an entire purchase ledger. Use supplier and document codes where possible. Do not include commercial rebates or price-protection claims in an RMA audit unless their approval rules and normalization have been separately agreed. Those workflows are not automatically implemented here.

Judge the pilot by usable evidence

Ask your AP or finance lead to verify each proposed exception against originals. Measure the preparation effort, useful findings and follow-through to settlement. A large dashboard total alone is not a business case. Start by showing the fictional demo to the colleague responsible for supplier credits; financial exports are not needed for that conversation.
